Why vector artwork is usually the best starting point
For simple logos, vector artwork is generally easier to scale, separate by color, and edit without losing edge quality. Adobe explains that vector graphics are built from points, lines, curves, and shapes rather than fixed pixels, so they can be resized without the jagged edges associated with an enlarged raster image. A file extension alone does not guarantee that a file is truly vector. A JPG placed inside an AI or PDF file remains a raster image. Buyers should ask the designer to confirm that the logo paths, lettering, and color objects are editable. If a raster image is unavoidable, the supplier should specify the required pixel dimensions at the final print size before approval.
Recommended artwork package
A practical handoff package normally includes:
- Editable master: AI, EPS, or another supplier-approved vector format.
- Print reference: PDF showing the expected appearance and proportions.
- Preview: JPG or PNG for quick visual identification, not as the only production file.
- Color references: named spot colors, approved CMYK values, or another agreed standard.
- Placement drawing: the final logo size and position on the actual pack outline.

Define the printed size and safe area
“Place the logo in the center” is not a measurable instruction. The proof should show the final printed width and height, the distance from reference edges, and the orientation. It should also distinguish the overall pack dimensions from the printable area.
Flexible packs have production zones that should not be treated like a flat poster. Heat-sealed borders, fill openings, welded chamber lines, folds, valves, and attachment points can limit placement. A logo positioned too close to these features may be distorted, partly hidden, or exposed to greater handling stress. For a shaped product, the usable print area may be smaller than the silhouette suggests.
Ask the supplier to return the artwork on the current dieline or product drawing. If the pack design changes, recheck the logo position rather than reusing an earlier approval automatically. This is especially important when dimensions, seal width, chamber layout, or accessories change.


Specify colors for the actual printing route
A color viewed on a monitor is not a reliable production target by itself. Printing method, ink system, substrate color, surface finish, opacity, and curing conditions can all affect the result. The artwork brief should state whether the design uses spot colors, process colors, or another supplier-approved system.
Pantone distinguishes solid or spot colors from process colors. Spot printing uses a formulated ink color, while process printing combines standard inks such as cyan, magenta, yellow, and black. The appropriate route depends on the artwork and production process. Pantone’s graphic color-system guidance is a useful reference when a brand team needs to communicate color intent.
For a transparent or colored gel pack, clarify whether the logo requires an opaque white base, a reverse version, or a different color treatment. Do not assume the same artwork will reproduce identically on clear PVC, colored TPU, fabric, a carton, and an instruction insert. Each substrate may need its own approved proof or physical sample.
Outline fonts and protect small details
Missing fonts can cause substitutions, changed spacing, or broken line wraps. Converting final type to outlines preserves the approved letter shapes, although the buyer should keep a separate editable file for future text changes. Small details require more than a visual check at high zoom. Ask the supplier to confirm the minimum line weight, minimum type size, knockout size, spacing between colors, and any registration tolerance that matters for the chosen process. Do not simplify a protected trademark without brand-owner approval. If production constraints require a change, route the revised artwork back through the brand approval process.
What the pre-production proof should show
A useful proof is more than a logo pasted onto a generic rectangle. It should identify:
- product or sample reference;
- pack dimensions and orientation;
- logo dimensions and placement coordinates;
- material and base color;
- printing method and number of colors;
- color references;
- white underbase or reverse-print instructions, if applicable;
- version number and approval date.
Print-production software can preview color separations, spot plates, and other output conditions, but a screen preview cannot eliminate process and substrate differences. Common file problems that delay sampling
- Only a low-resolution screenshot is supplied. It may be useful as a reference but not as production artwork.
- The logo is embedded in a presentation or document. The original design file is still needed.
- Fonts are missing. Text can reflow or be substituted when the file opens.
- Colors have no production reference. A screen color name such as “brand blue” is not measurable.
- The artwork lacks a final size. Scaling can change line weights and the relationship to the product.
- Several versions are sent without naming control. Use a clear version number and mark one file as the approval candidate.
- Pack and packaging artwork are mixed together. Separate the files by component and dieline.
Freeze the approved artwork before production
After sample approval, the final artwork, dimensions, color references, and placement should be attached to the product specification. If any of those items changes, record the revision and decide whether a new proof or sample is required. This avoids a situation in which the buyer approves one version but purchasing sends another.
